How Roole digitized its review cycles and streamlined skills assessment with Elevo?

Context
Founded in 1982, Roole is France’s leading automobile club with over one million members. The company offers theft protection solutions, supplemental coverage to main auto insurance, as well as a media platform and free applications designed to make motorists’ lives easier. Roole is a purpose-driven company and established a foundation in 2017. Today, more than 340 employees work together to fulfill its mission.
Aude Darche joined Roole in 2019 as Human Resources Manager. Her responsibilities are varied, ranging from supporting managers and employees, to developing a shared culture across all teams, as well as initiating and leading HR projects.
Before Elevo: Excel, a roadblock to employee tracking
Before adopting Elevo, Roole’s HR team attempted to manage its review campaigns using Excel, a tool that presented numerous challenges.
”With Excel, analyzing and tracking the actions we implemented was complicated. On top of that, we couldn’t easily go back to historical records: the Excel files were stored on a shared network, in different folders, and they didn’t have consistent names. Finding a specific review was a real challenge. All these difficulties kept us from qualitatively tracking our employees’ career progression.”

In other words, managing review campaigns in Excel proved both time-consuming and cumbersome for Roole’s HR team: it was impossible to know who had completed a review, making it equally impossible to gather quantitative metrics such as participation rates.
These obstacles, combined with a growing headcount and the broader digital transformation of HR, drove the team to adopt an innovative solution.

”Now, every time we launch a campaign on Elevo, we organize a webinar for all employees. We explain the structure and objectives of the campaign. Plus, on Elevo, at the start of each review and under every question, we share tips. For example, under the Goals section, we explain how to create a SMART goal. Now everyone has the same level of understanding and knows exactly what we expect from the reviews.”

A simplified skills assessment
This year, the HR team adopted Elevo’s Skills product, a choice that made skills assessment simpler and more structured. Before Elevo, these evaluations were carried out on Notion.
”Assessing skills on Notion was very time-consuming, especially in terms of ensuring confidentiality, updating data, and completing the evaluations. It also didn’t allow us to keep a complete, accessible history for those who needed it.”

On Notion, each employee was assessed on around 40 skills, a process Aude Darche considered overly detailed and dense.The simplification process was first tested on the Customer Advisor role, with the support of Inès, the Customer Success Manager working with Roole’s HR team.
”On Notion, we had six main themes for the Customer Advisor role, each with sub-levels. On Elevo, we kept the six main themes but listed the expected sub-categories under each. So instead of 41 skills to assess, we now have just six. This work was carried out with Inès, as well as with the Head of Customer Relations, managers, and some employees. For example, we asked Customer Advisors to test the new framework. This collaborative approach ensured strong buy-in for the project.”
